# WAI Systems

> WAI Systems is the AI engineering team your business doesn't have to hire. A small senior team works inside small and mid-sized businesses (SMEs) across the EU, learns how the work actually runs, and builds the AI worth building: assistants for customers and staff, automations that take busywork off people's plates, and the integrations behind them. Then we keep it running and improving.

## Who it is for

Small and mid-sized businesses in the EU, in any industry, with no AI engineers of their own. Access to AI was never their problem; making it work inside real processes is, and that takes engineers most companies that size do not have.

The usual alternatives fall short for them:

- Tools stop at the box: ChatGPT and chatbot builders are easy to start and hard to fit. Someone still has to connect them to the business's offers, documents and systems, and keep them right.
- Hiring takes too long: an in-house AI team means scarce engineers, a long search and a budget line most smaller companies cannot justify for a first project.
- Handoffs lose the details: when one firm designs the system and another builds it, the knowledge of how the business works gets lost in between.

WAI Systems is the right call when a few of these are true: a workflow eats hours every week; the answers customers or staff need live in the company's own documents, systems and heads; there are no AI engineers in-house and hiring them is not realistic; the business cannot replace its software just to adopt AI; and it wants someone to say honestly what is worth building first.

## What we build

Four kinds of system, often combined. Each is built around the client's data and people, and a person stays in charge of every decision that matters.

- Customer assistants: answer from the business's real offers, prices and pages, suggest concrete options, and hand anything sensitive or unclear to the team with the conversation attached.
- Internal knowledge assistants: staff ask in plain language and get an answer with its source document. The assistant only answers from documents the team keeps current.
- Workflow automations: when something happens in the business (for example, a supplier sends a new price list), the system applies the company's own rules and prepares the result. A person reviews and confirms.
- Integrations: connect the CRM, ERP, booking tools, spreadsheets and APIs a business already runs, so the data an assistant or automation needs is in one place. Nothing has to be replaced, and access follows the company's permissions.

## Why WAI Systems

A small team, on purpose. Three reasons it works better than the usual ways of buying AI:

1. Embedded, not handed off. The engineers who scope a system build it, launch it and stay with it. No account managers, and no handoff to an implementation partner.
2. Not starting from zero. 90% of the platform we build on is our own code and tooling, refined over 10,000+ development hours. Budget goes into fitting the system to the business, not into reinventing the basics. When a workflow does not fit, we change the system, not the process.
3. Honest about AI. The discovery audit says what is worth building and where AI does not belong. The plan belongs to the client, even if someone else builds it.

## How we work: forward-deployed engineering

Forward-deployed engineering means the people who design the system also build it, launch it and keep improving it in production. There is no handoff to an implementation partner, and no account layer between the engineer and the operation.

How an engagement runs:

1. Intro call: free, with the founder. We map the problem, the systems involved and whether we are a fit.
2. Product discovery audit, like engaging an architect: we define the needs, design the solution and deliver an action plan with a cost estimate. The plan is the client's, even if another team builds it.
3. Build: on our own platform, connected to the tools the client already runs.
4. Run and improve: we watch real use, fix weak cases and expand only where it pays off.

The engineering loop behind a build: understand (users, pain, data and workflow), define (outcome, scope and guardrails), build (logic, UX and integrations), deploy (real users, feedback and support), improve (measure, correct and expand). The strongest requirements usually become visible only after the system meets live knowledge, real users and everyday constraints.

Four roles are on every engagement: engineering builds the system and integrations, product translates needs into usable workflows, operations fits the solution into real work, and improvement monitors quality and strengthens it. In a small team one engineer often holds more than one role.

Every deployment ships with a control surface: the client sees what the system is doing, reads the conversations it handles, changes how it behaves and measures whether it is getting better.

Production-minded by default, all decided before anything is built: role-based access, human approval and escalation for anything requiring judgment, guardrails on what the system may and may never do, and quality measured in production.

## Where this already runs

## The company

- What it is: the AI engineering team your business doesn't have to hire. A forward-deployed AI engineering company.
- Customers: small and mid-sized businesses (SMEs) in the EU, in any industry.
- Team: a small senior team of engineers, working directly with each client.
- Founded in 2024 by Aleksander Repnik (Founder and CEO), who leads strategy, product direction and partnerships and is in the room for the scoping of every engagement.
- US-registered: WAI Systems, 1021 E Lincolnway, Cheyenne, Wyoming. The team is based in the EU and works in European hours.
- Data: EU servers, GDPR-aligned. LLM providers do not train on client data. Conversations are retained for no longer than 60 days.
- Platform: 10,000+ development hours, 90% built on our own code and tooling.
- Pricing: scoped per engagement. A product discovery audit sets the scope and delivers a cost estimate before any build starts.
- Alternatives buyers usually compare us with: hiring an in-house AI team, SaaS chatbot builders, and AI consultancies that hand the build to an implementation partner.

## Frequently asked questions

### What is forward-deployed engineering?

It means the engineers who design your system also build it, launch it and keep improving it in production. Instead of a handoff to an implementation partner, the same people work inside your business until the system holds up in daily use.

### Is this for a company our size?

Yes. We work with small and mid-sized businesses across the EU that have no AI engineers of their own. You do not need a data team or an IT department to start, only a workflow that costs you time or revenue and someone who knows how it runs today.

### How do you decide what to build first?

We look at where revenue is lost, work slows down, people repeat the same decisions or important knowledge is hard to find. Then we weigh business value, feasibility, risk and adoption, and recommend one place to start. If AI is the wrong tool for it, we say so.

### How is pricing structured?

Pricing depends on project scope and expected usage. Ongoing costs typically cover lightweight maintenance and usage-based fees. The discovery audit ends with a cost estimate before anything is built, and an intro call is the fastest way to get a first idea.

### Do we need to replace the software we already run?

Usually not. We design around the systems you already rely on and connect only what creates real value. Website assistants ship as a script or plugin, and larger systems connect to your existing CRM, ERP, booking tools, databases and APIs, so you keep the stack you already have.

### What happens after launch?

We stay close to the system. We monitor real use, measure the business effect, fix weak points and expand only where it is justified, so you always have someone who knows the system inside out.

### How do you handle GDPR and data protection?

Data access, retention, hosting and escalation are defined during discovery. All processes follow EU standards and GDPR requirements, data is stored on EU servers, and conversations are retained for no longer than 60 days.

### Who founded WAI Systems?

Aleksander Repnik founded WAI Systems in 2024 and leads it as CEO. He runs scoping, commercial terms and partnerships, and he is in the room when every engagement is scoped.

### How big is the WAI Systems team?

A small senior team, on purpose. You work directly with the engineers who build your system, not with an account manager in between, and the founder is part of every scoping conversation.

### Where is WAI Systems based?

The company is registered in Cheyenne, Wyoming, in the United States. The team works from the EU in European hours, and client data is hosted on EU servers.

### Is WAI Systems an agency, a consultancy or a software company?

The closest description is an AI engineering team you do not have to hire. Like a consultancy, we start by understanding the business, but the same engineers then build and run the system. Like a software company, we build on our own platform, but we do not sell you a licence and leave you to fit it.

### Which industries does WAI Systems work with?

Our current clients are in travel, hospitality, retail and leisure. The approach is not tied to an industry: it fits any business with a workflow that crosses several systems and depends on knowledge only the company has.

### How do I start working with WAI Systems?

Book a free intro call with Aleksander or write to info@wai-systems.com. If there is a fit, a product discovery audit follows, and it ends in an action plan with a cost estimate that belongs to you.
